Start with a non-confidential project summary

For an initial scope discussion, send a short summary of the installation type, country, approximate scale, intended use and the support you need. Include an opening date if known; a budget range is helpful when available. Detailed drawings and confidential designs can wait until the information-sharing arrangements have been agreed.

Identify whether the request concerns design development, fabrication from existing drawings, or a combined scope. List packing, freight and site-installation support separately, including any work handled by your own team. Confirm the deliverables, review stages and responsibilities in writing before work begins. Design, engineering, prototypes or testing, fabrication, packing, freight and local work should be identified as applicable quotation items; fee credits and payment terms need a written agreement.

Use the quotation checklist for the next stage and review the production information for evidence relevant to the requested process. Ask for project-matched records when assessing fabrication or completed-installation experience; concept renderings alone do not establish completed work.
